Privacy Policy
This policy explains how Creative Chaos Writing Competition collects, uses, stores, protects, shares, and deletes personal information, including information received when a user chooses Google Sign-In.
1. Who We Are and What This Policy Covers
Creative Chaos Writing Competition ("Creative Chaos," "we," "our," or "us") operates CreativeChaosWrite.com and related Creative Chaos online services used to administer the writing competition.
This policy applies to the public website and Creative Chaos services on our domains and subdomains, including registration, participant, judge, writer, team, volunteer, scoring, survey, resource, and administrative portal functions where this policy is linked.
Our online services help writers, coaches, school representatives, judges, authors, volunteers, and administrators register for and manage the competition, receive resources and announcements, complete assigned activities or surveys, and access role-appropriate portal features.
2. Information We Collect Directly From Users
Depending on the feature you use, we may collect information you voluntarily provide, including:
- Name and email address.
- School, organization, team, or group affiliation.
- User role, such as writer, coach, judge, author, volunteer, team representative, or administrator.
- Registration and event participation information.
- Competition-related assignments, judging records, scores, comments, survey responses, or other information submitted through an authorized feature.
- Communications you send to Creative Chaos.
- Technical information needed to operate and secure the service, such as session information, browser/device information, and security logs.
3. Google Sign-In: Exact Google User Data We Access
Creative Chaos offers Google Sign-In as an authentication option for certain Creative Chaos portals. Google Sign-In is used so a user can prove the identity of the Google account they choose and connect that identity to a Creative Chaos account.
For standard Google Sign-In, Creative Chaos requests only the basic OpenID Connect identity permissions needed for authentication: openid, email, and profile.
| Google user data | How Creative Chaos uses it |
|---|---|
| Google account unique identifier | To securely associate the Google account with the correct Creative Chaos account and prevent account ambiguity. |
| Email address and, when supplied by Google, email verification status | To identify the user, locate or create the correct Creative Chaos account, support account communication, and help prevent unauthorized account creation. |
| Display name | To identify the user inside the Creative Chaos portal and prefill or display account information where appropriate. |
| Profile image, if the Google account supplies one | To display an optional account/profile image in interfaces that support it. |
4. Why We Request Google User Data
We use Google user data only to provide or improve user-facing Creative Chaos functionality. Specifically, we use the Google identity information described above to:
- Authenticate the user securely.
- Create, locate, or link the user's Creative Chaos account.
- Determine which role-based portal or resources the authenticated user may access.
- Display basic account information within the Creative Chaos service.
- Protect accounts and investigate authentication or security problems.
Google Sign-In is not used to build advertising profiles, determine creditworthiness, sell user information, or create unrelated databases.
5. Other Ways We Use Personal Information
- Process and administer competition registrations.
- Manage writers, teams, judges, coaches, authors, volunteers, school representatives, and other authorized participants.
- Provide competition resources, portal content, schedules, announcements, judging functions, surveys, assignments, and event information.
- Send registration confirmations, account notices, reminders, survey invitations, competition updates, and other service-related communications.
- Respond to support requests and questions.
- Maintain website and account security, prevent abuse, troubleshoot technical problems, and protect competition integrity.
- Maintain records reasonably needed for competition administration, dispute resolution, and legal compliance.
6. How Google User Data Is Stored
When a user connects with Google Sign-In, Creative Chaos may store the Google account identifier, email address, display name, profile-image reference, and related Creative Chaos account linkage in our application database so the user can sign in again and use the appropriate portal features.
Authentication sessions may also be stored temporarily in secure session cookies or server-side session data so the service can keep the user signed in during an active session.
7. Sharing, Transfer, and Disclosure of Google User Data
Creative Chaos does not sell, rent, or disclose Google user data to data brokers, advertisers, or information resellers.
We do not share Google user data with third parties for targeted advertising, personalized advertising, retargeting, credit decisions, lending, or unrelated commercial purposes.
Google identity data may be processed by service providers that are necessary to operate or secure Creative Chaos, such as website hosting, database, email, or security providers, only to the extent reasonably required to provide those services. We may also disclose information when required by applicable law, legal process, or to address fraud, abuse, security threats, or the rights and safety of users or Creative Chaos.
Within the Creative Chaos service, authorized administrators may access account information when necessary to administer accounts, registration, event participation, permissions, or support. School/team representatives may see participant information only where the service is designed to provide that information for competition administration.
8. Google API Services User Data Policy and Limited Use
Creative Chaos Writing Competition's use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Google user data is used only to provide or improve user-facing Creative Chaos features that are described to the user. We do not use Google user data for targeted or personalized advertising, sale to data brokers, determining creditworthiness, lending, or other prohibited purposes.
Creative Chaos does not use Google Workspace API data to develop, improve, or train generalized or non-personalized artificial intelligence or machine-learning models.
9. Data Security and Protection
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information and Google user data against unauthorized access, alteration, disclosure, or destruction. Depending on the system, safeguards include HTTPS encryption in transit, authentication controls, role-based access controls, restricted administrative access, password hashing for locally authenticated accounts, session protections, database access controls, and security monitoring or logging.
No online service can guarantee absolute security, but we limit access to personal information to people and systems that need it for authorized Creative Chaos functions.
10. Cookies, Sessions, and Analytics
CreativeChaosWrite.com and related portals may use cookies, session identifiers, and similar technologies to keep users signed in, maintain secure sessions, remember necessary preferences, operate website features, prevent misuse, and diagnose technical problems.
The public CreativeChaosWrite.com website also uses Google Analytics to understand aggregate website usage and improve the public site. Analytics data is separate from the Google Sign-In identity data described above.
11. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy. Account and Google Sign-In linkage information may be retained while an account remains active and for a reasonable period afterward when needed for account administration, security, dispute resolution, historical competition records, or legal obligations.
Competition records may be retained across event years when needed to preserve legitimate event history, awards, scoring integrity, or administrative records. Information that no longer has a legitimate business, educational, security, or legal purpose may be deleted, anonymized, or securely archived.
12. Account Deletion, Google Access Revocation, and Data Deletion
A user may request deletion of a Creative Chaos account and associated personal information by emailing [email protected]. We may reasonably verify the request before acting on it.
When a valid deletion request is completed, we will delete or anonymize personal information that is no longer required for a legitimate administrative, security, competition-record, dispute-resolution, or legal purpose. Where limited information must be retained, we will retain only what is reasonably necessary for that purpose.
A user may also revoke Creative Chaos's Google authorization through the user's Google Account security settings. Revoking Google authorization prevents future use of that Google authorization but does not, by itself, delete a Creative Chaos account or information already provided to Creative Chaos. To request deletion of stored Creative Chaos data, contact us using the address above.
13. Students and Minors
Creative Chaos serves school communities and may involve participants who are minors. We seek to collect only information reasonably necessary to administer the competition and related educational activities.
Where consent from a parent, guardian, school, or other authorized person is legally required, the participant should use the service only after that consent has been obtained. Participating schools and organizations are responsible for obtaining permissions they are legally required to obtain for their participants.
If we learn that personal information from a child has been collected in a manner inconsistent with applicable law or required consent, we will take reasonable steps to delete, restrict, or otherwise appropriately address that information.
14. Email and Service Communications
Creative Chaos may send transactional or competition-related email concerning account activity, registrations, judging, teams, schedules, surveys, reminders, resources, competition updates, and support. Optional promotional communications may include an unsubscribe method when appropriate. Essential account, security, or competition-administration notices may still be sent when necessary.
15. Your Choices and Rights
Depending on applicable law and the circumstances, you may request access to, correction of, or deletion of personal information associated with your Creative Chaos account. You may also stop using Google Sign-In, revoke Google's authorization, or use another supported authentication method when available.
16. Changes to This Privacy Policy
We may update this Privacy Policy when our services, technology, data practices, or legal obligations change. The current version will remain publicly available at https://creativechaoswrite.com/privacy.php with its revision date. If we materially change how Google user data is used, we will update this disclosure before applying the new use as required.
